Business automation — setup and maintenance
Less repeated work. Systems that keep working.
We help businesses reduce repeated admin work. We improve one process, connect supported tools, and build and maintain agreed automations.
Start with one task that needs doing often. We can configure existing tools rather than build new software when that is enough. Your staff stay in control of important actions.
Choose your first taskService sheet / a simple starting point
- What we set up
- One agreed workflow that reduces repeated typing, copying or sorting. We check your tools before we promise a connection.
- What we maintain
- The agreed workflows, within a separate support scope. We check results and make tested changes as your work changes.
- What you decide
- Staff review important messages, orders and payments before action. The setup does not move money on its own.
01 / Possible starting tasks
Small tasks worth checking first
Examples only, not customer case studies. We check which tools can support each task.
- Enquiry follow-up drafts
- Prepare a reply from the details in a new request. A staff member checks it before sending.
- Moving approved information
- Move agreed information between email, spreadsheets and business tools. Check that the right details reach the right place.
- Invoice and order records
- Prepare records from approved information for staff review. Staff check amounts and details before use.
- Meeting and update summaries
- Turn approved notes into a short summary and a list of next steps. Staff check facts and choose what to do.
02 / Illustrative workflow
An enquiry arrives. You decide what goes out.
A possible enquiry follow-up workflow, subject to tool checks. This is an example, not a live customer record or a result claim.
Before
An enquiry arrives. Staff read the message, copy the details and write a reply from the start.
Checked automation
The agreed setup organizes the details, marks missing information and prepares a reply draft. We test these steps on agreed examples.
Staff decision
The owner checks the details and reply before sending. They can edit it, send it or discard it. Missing facts still need a person to check.
03 / Setup and handover
One useful process, checked together
- Understand the work
Show us the current process and one costly repeated task. We look at where staff repeat work and where they must decide.
- Agree the first project
Agree scope, a success measure and tool access. Choose a result we can check together, such as whether a draft has the needed details.
- Build and test
Configure the tools and test on agreed examples. Check normal work, missing details and mistakes before use.
- Train and hand over
Show staff how to use the workflow, check results and stop it when needed. Provide usable handover notes.
- Maintain and improve
Keep useful workflows working within a separately agreed support scope. Test changes before use.
You own the accounts and configuration. We ask for only the permissions needed for the agreed task. You can remove our access. The handover notes explain how to use the setup and which connections need that access.
04 / Ongoing upkeep
Maintenance has a clear scope
- Check agreed workflows
- Check that the agreed steps still work. Use examples to find problems.
- Repair supported connections
- Repair failures in supported tool connections within the agreed scope. A tool change may need new work; we agree that first.
- Adjust to process changes
- Update the workflow when your agreed process changes. Check the change with staff before use.
- Review quality
- Review outputs from agreed examples and staff feedback. Correct problems and test the next version.
We agree response times, support hours, change limits and costs before work. Maintenance is not unlimited support. The support agreement says what is covered and what needs a separate project.
First project and maintenance are priced after scope. Software, subscription and hosting costs are separate and agreed before work.
05 / Human review
Help with work, not a replacement for judgement
AI can make mistakes. Staff must review important messages, orders and payments before action. The setup does not move money on its own or make promises to customers for you.
This is help with repeated work, not a promise to replace staff. Start with a task where a person can check the result. We agree what happens when a step fails and when staff must take over.
06 / Questions
Before you choose a task
Does this need AI or new software?
Not always. We can configure existing tools when they can do the task. We use AI only where it helps, and check which connections your tools support before we agree the work.
What does maintenance cover?
Maintenance has a separately agreed support scope. It can cover workflow checks, repairs to supported connections, process changes and quality reviews. We agree response times, support hours, change limits and costs before work. It is not unlimited support.
Who owns the setup and controls access?
You own the accounts and configuration. We provide usable handover notes. We ask for only the permissions needed for the agreed task. You can remove our access. We explain which connections depend on that access before you remove it.
Can it send messages or handle payments on its own?
AI can make mistakes. Staff must review important messages, orders and payments before action. The setup does not move money on its own. This is help with repeated work, not a promise to replace staff.
How much does it cost?
First project and maintenance are priced after scope. Software, subscription and hosting costs are separate and agreed before work. There are no set price tiers on this page.
07 / First task
Choose your first task
Pick one repeated job, not the whole business. Make a short note of:
- What starts the task and who does it now.
- Which tools and information it uses.
- What a useful result would look like.
- What staff must check before action.
